Administrative Assistant II - Regulatory Affairs and Compliance

Provides administrative support to Regulatory Affairs and Compliance (RAC) staff.

Key Job elements:

1. Answers telephones as requested by RAC staff or caller, and handles routine inquiries independently.

2. Performs clerical duties as assigned. Maintains correspondence records, paper and electronic files, and information databases. Prepares meeting minutes for monthly staff meetings, and as requested for project oriented meetings. Organizes meeting dates, manages invitee attendance and meeting structure, and sends out agendas and minutes to invitees and other interested parties. Update EDMC Central Staff as well as internal RAC phone lists. Makes copies.

3. Schedules and manages teleconference and off-site meetings. Makes travel arrangements.

4. Orders supplies monthly. Maintains office supply inventory and reports budget implications monthly.

5. Provide resource management, and knowledge of company wide and departmental resources, including procurement information related to RAC designated office equipment and supplies.

6. Acquires specialized knowledge in RAC departments; regional, national accreditation, state licensing, international, and projects pursued therein.

7. Prepares correspondence for others signature.

8. Gathers information, completes documents and submits materials to requesting agencies.

9. Manages incoming and outgoing mail and faxes, and UPS shipping and delivery.

10. Maintain calendars via Microsoft Outlook for Senior Staff.

11. Location and retrieval research, and construct and implement organization schemes on team and individual basis.

Position Requirements:

Associates degree with at least three years’ progressively responsible experience providing administrative support in a team environment.

Personal computing skills in the most current version, and in order of required expertise: Microsoft Outlook, Microsoft Word, Adobe Acrobat Reader/Writer, Microsoft Excel. Some experience in database programs.

Excellent organizational abilities, and able to organize others according to their work style.

Superior communication skills, both written and oral, to effectively communicate via email, telephone, and in written correspondence to internal and external entities.

Problem solving and analytical skills. Ability to handle multiple tasks.

Contribute to a positive team environment by demonstrating a strong work ethic, and proactively anticipate staff needs.

Environment: This position operates with considerable independence and minimal supervision in routine and daily operations, with adequate direction for project oriented task assignments. This position supports the operating functions of Senior Staff and Regulatory Affairs and Compliance Staff as necessary. Internal contacts include RAC employees in Pittsburgh, Chicago and Halifax, school faculty and staff, and central staff. External contacts include school and accreditation officials, and associates of the Senior Vice President and Vice President.

Accountability: Meeting project deadlines. Creating and following existing or created organizational mechanisms ensuring that the RAC Team operates efficiently and effectively.
